The instinct on discovering this mismatch is to fix whichever document is causing trouble today, and that instinct is expensive. Your Aadhaar and your marksheet are not equally easy to change. One is an identity record you can update at a Seva Kendra with proof; the other is a Board record that runs through your old school, the District Inspector of Schools and a portal, and takes months. So the useful question is not "how do I fix the mismatch", it is which document is wrong, and the honest answer to that is sometimes inconvenient.

Deciding Which Document Is Wrong

There is a correct answer to this and it is not a matter of preference. Your name is what your birth record and lifelong usage say it is, and the document that departs from that is the one carrying the error. Work through it in this order.

Two complications worth naming. Where the birth certificate itself is wrong or missing, which is common for people born in the 1980s and 1990s in Uttar Pradesh, the anchor shifts to your school admission record and your consistent usage, and our birth certificate guide covers fixing that first. The Three Scenarios and What Each Costs

The ordering in the third row is not arbitrary. The Board is being asked to align its record with your identity documents, so those documents have to say the right thing before the application is made, as our main correction guide sets out. Applying to the Board while your Aadhaar is still wrong produces a rejection and a wasted fee.

The Cheap Fix That Is Often the Wrong Fix

Here is the conversation we have most often. Someone's marksheet says one thing, their Aadhaar says another, and the marksheet is correct. Correcting Aadhaar is quick, so the temptation is to change Aadhaar to match the marksheet and be done in a week. Sometimes that is fine, when the marksheet genuinely carries your real name. But when the marksheet is the wrong one and Aadhaar is right, changing Aadhaar to match the error means:

• Your identity documents now carry a name that is not yours, and PAN, bank and passport records will follow it or disagree with it.
• The problem moves rather than resolving: the next mismatch appears between Aadhaar and your birth certificate, or Aadhaar and PAN.
• The Board record stays wrong permanently, and any future verification against school records still fails.
• You may have to reverse it later, which is harder than doing it correctly the first time.

The rule we give clients: change the document that is wrong, not the document that is easy. Where the correct fix is genuinely unaffordable in time right now, an affidavit bridges the gap without falsifying anything, which is the next section.

When an Affidavit Is Enough

Not every mismatch needs a correction. A one-and-the-same-person affidavit, sworn before a notary, states plainly that the two names refer to a single individual, namely you, and for a large set of situations that settles it.

The pattern is worth understanding rather than memorising: an affidavit works where a human being is deciding and needs a reason to accept two names, and fails where a system is matching strings or a rule requires documents to agree on their face. Where a Mismatch Actually Breaks

• Exam forms: filled from your marksheet and checked against it, so a mismatch here is not survivable with an affidavit.
• Recruitment document verification: the whole academic record is pulled and compared against identity documents, which is where most people discover the problem years late.
• PAN and Aadhaar linking: a separate failure between those two documents, which our PAN and Aadhaar mismatch page covers.
• Scholarship and government benefit portals: automated matching, and the failure is often silent, an application that simply never progresses.
• Passport applications: everything you submit is compared, so an inconsistent set invites questions at the strictest counter.
• Higher education admission: the marksheet is the primary document, so it has to be right rather than explained.

Notice which of these you can predict. If your future involves any government examination, recruitment or higher study, treat the correction as necessary rather than optional, and start early. If it genuinely does not, the affidavit route may serve you for years without trouble.

If an Application Is Already Submitted

A rule that saves people from making things worse: if you have already applied for something in one name, do not change your documents mid-process. A verification desk comparing your application form against your documents wants them to agree, and a correction that lands halfway through creates exactly the inconsistency you were trying to remove. Finish the process, then correct. The one exception is where the process itself has stopped because of the mismatch, in which case there is nothing left to protect and the correction is the only way forward. If a deadline is close and a Board correction cannot finish in time, an affidavit plus a written explanation to the authority is a better move than a rushed half-correction, though whether it is accepted is their decision rather than yours.

Central Gazette Name Change: Step by Step

1. Swear the affidavit

   Notarised on stamp paper with the name on the marksheet, the name you will use, your address and the reason, in your own district.

2. Publish two newspaper advertisements

   One Hindi daily of your district (Dainik Jagran, Amar Ujala or Hindustan) and one English paper, complete original pages kept flat.

3. Type the proforma and prepare the CD

   Two typed copies with two witnesses giving their signature, full name and address, and the CD carrying the declaration as typed Word text.

4. Pay Rs 1,100 on BharatKosh

   Before dispatch, with the printed receipt going into the envelope as an enclosure.

5. Courier the file to Civil Lines

   Tracked dispatch to the Department of Publication, Delhi 110054, with your phone and email on the covering letter.

6. Download and use it in the Board application

   Publication in 25 to 45 days, free download, and prints enclosed with the school application.

Two Different Affidavits, and When Each Applies

People confuse these constantly, and they do opposite jobs.

Choosing between them is really choosing between explaining the mismatch forever and ending it once. For a bank account and an employer, explaining is cheap and permanent enough. For anyone facing examinations, recruitment or higher study, ending it is the only thing that works, and the sooner it starts the less it interrupts.

Gazette Fees, Time and the File

The Department's checklist in one line: covering letter with phone and email, affidavit (notarised), newspapers (both, original, whole pages), proforma (typed, two copies, applicant plus two witnesses), CD with signed declaration, photo ID, address proof, photographs, BharatKosh receipt.

Before You Apply: Check These

• Decide which document is wrong using your birth certificate and lifelong usage, not which is easier to change.
• If both are wrong, correct Aadhaar first, because the Board aligns its record to your identity documents.
• Do not change anything while an application or examination process is pending in one name.
• Where the difference is only a spelling variation, check the correction router before assuming you need a gazette.

After the Gazette: What Updates Next

Once the Board record and Aadhaar agree, the rest of the chain falls into place: PAN, bank, employer, and the passport if relevant, followed by the other class of marksheet if both were affected and any university record. Keep the affidavit and, where used, the gazette filed with the old and new documents, because the link is occasionally asked for even after everything matches.
