The Passport Carries the Job

At home, a passport is one document among many. If the name on it differs slightly from a ration card, nothing much happens. Abroad, it is the opposite. THE VISA issued against the passport number and the name on it THE EMPLOYMENT CONTRACT signed in that name THE EMPLOYER'S FILE opened in that name A BANK ACCOUNT THERE opened on the passport THE SALARY paid into that account Every one of those was created from the passport, and every one of them expects the passport to keep saying what it said. So the passport is not really a travel document for a working migrant. It is the single thread that everything else hangs from, and it is the thread you should be most careful about cutting.

That is why the advice on this page is different from the advice everywhere else on the site, where fixing a name sooner is almost always better.

Before the First Passport

A young man from a village near Lambhua is about to go abroad for the first time. His marksheet says one thing. His Aadhaar says something slightly different. The agent says it does not matter. It matters enormously, and this is the only week in his life when fixing it is simple. Once the passport is issued: the visa is issued from it the contract is written from it the employer's records copy it his bank account there follows it After that, changing the name means changing all of those, in another country, in another language, through an employer who has no reason to hurry. Two weeks of care now. Or years of explaining later.

What we cannot tell you is what a particular country's immigration system, or a particular employer, will require once your passport carries a different name. That varies by country, by visa type and by employer. The Safe Window

  1. Between contracts is the natural moment

    When one employment has ended and the next has not begun, nothing abroad is depending on the old spelling.

  2. Do the gazette first, while at home

    Roughly 25 to 45 days, and it needs nobody abroad.

  3. Then Aadhaar, then the passport

    In that order, because the passport application is checked against Aadhaar.

  4. Then let the new contract be written in the new name

    Which is the whole point: the next set of records starts correct rather than being corrected.

  5. Keep the old passport safely

    It is the link between the two names in every foreign record that still carries the old one.

  6. And keep the gazette with it

    Because that is what explains the change to anybody who asks, in any country.

This is the easy part here, and it can be done entirely from the district, or by family while the applicant is abroad on leave planning.

Stage 1: The affidavit

DEPONENT VERIFICATION:- Verified at ____________ on this __-__-20__ that the contents of the above Affidavit are true and correct to the best of my knowledge and belief. DEPONENT

Two lines here appear on no other page: the passport number with its place and date of issue in the opening, and point two naming the passport spelling separately. For somebody whose foreign records all descend from that passport, this is the affidavit that ties the old thread to the new one.

Stage 2: The Public Notice, in two copies

Each witness gives signature, full name and address, and both sign both copies. Family members in the village are entirely acceptable.

Stage 3: The CD and CD-Certificate

CD-CERTIFICATE I, ____________________ S/O ____________________ , R/o ____________________________________________________ , do hereby declare:- 1- That the matter in CD and hard copy is the same and I am responsible for any mismatch. 2- That I am responsible for the quality of CD. 3- That the CD is in MS-Word Format. 4- That the above statement is true and correct. Stage 4: Newspapers, fee, covering letter and dispatch

  1. Publish in two newspapers and buy six copies

    A Hindi daily and an English paper covering this district, complete original pages. Keep more than six if you may need to show them abroad.

  2. Pay Rs 1,100 on BharatKosh

    Online, with two receipts printed.

  3. Write the covering letter

    To The Controller, Publication Department, Civil Line, Delhi 110054, with a number that is reachable in India.

  4. Assemble, check and photocopy

    A full copy set kept with the family, not carried abroad, because the file sent is never returned.

  5. Courier it, tracked

    A day or two from here to Delhi.

  6. Then Aadhaar, then the passport at Lucknow

    In that order, and only once the employer question has been answered.

Ask Before You Apply, Not After

One message, sent before anything else, saves more trouble here than any document. To your employer or your agent: "I intend to change the name on my Indian passport. My current visa and employment record are in the name ____________ . Please tell me what your company and the authorities there will require if my passport carries a different name, and whether there is a preferred time to do this." Send it in writing, not on a call, so you have the answer to show later. Their reply decides everything: whether to do it now, at the end of the contract, or before the next one begins. Nobody in India can answer that question for you, and anybody who claims to is guessing with your job.

Why We Ask About the Visa First
