Under the profile or joint declaration section, enter the details exactly as they appear on Aadhaar, and save the reference number.
It goes to your employer, not to EPFO
This is the part people do not expect. The request waits at the employer until somebody there approves it digitally.
So contact HR, in writing, with the reference
An email is better than a call, because it leaves something you can show later.
Then EPFO gives final approval
The regional office reviews and applies it, which takes its own time after the employer step.
Check the UAN afterwards
Download the UAN card or reopen the profile to confirm the name actually changed. Applying is not the same as it being done.
Only then file a fresh claim
There is no penalty for refiling once the profile is clean.
If the Employer Has Closed
- This is a recognised situation and there is a route for it, so being told nothing can be done is wrong.
- File a grievance at EPFiGMS explaining that the employer is closed or is not responding, with your UAN and member ID.
- Submit a physical joint declaration to the Regional PF Office with a covering letter setting out the employer situation.
- Attach whatever proves the employment, such as an appointment letter, salary slips, Form 16 or bank statements showing PF deductions.
- If it still does not move, escalate through the grievance system and then by asking in writing for the recorded status and the reason for delay.

- A documentation office can prepare papers, but it cannot and should not operate your member account.
