Quick answer: Correct EPFO to match Aadhaar, never the other way round, because Aadhaar is what the system validates against. Raise a joint declaration on the member portal, then get your employer to approve it digitally; EPFO gives the final approval after that. Make sure your bank account name matches too, or the claim will still auto-reject at the bank check. A Letter Freezes the Balance

A man from a village near Bansdih worked six years in Surat. He comes home, applies to withdraw his PF, and a message arrives: claim rejected, name mismatch His Aadhaar says one thing. The PF account says something slightly different, because an HR clerk in another state typed it from a form in 2019. Nothing is missing. The money is there and it is his. But the system compares two strings of letters and they do not match, so nothing moves. The usual differences are small: an initial dropped or added a surname shortened the order of names reversed Kumar written as Kr a married name updated in Aadhaar but not in the PF record Every one of those is enough. And none of them can be argued with at a counter, because the check is automatic.

This is the same mechanism as anywhere else on a form: somebody wrote what they heard or what fitted the field, years ago, and it has been sitting there since.

The direction rule is worth memorising: ALWAYS ALIGN EPFO TO AADHAAR NEVER AADHAAR TO EPFO Aadhaar is what the system validates against, so it is the reference and not the thing to be edited. There is one exception. If your Aadhaar itself carries the wrong name, fix that first at an Aadhaar centre, and only then correct EPFO to the new Aadhaar. Doing it in the other order means correcting EPFO twice. And be careful with Aadhaar, because the number of times a name can be updated there is limited, which is set out on our Aadhaar page.

The Part That Is Not in Your Hands

  1. Log in to the member portal and raise the request

    Under the profile or joint declaration section, enter the details exactly as they appear on Aadhaar, and save the reference number.

  2. It goes to your employer, not to EPFO

    This is the part people do not expect. The request waits at the employer until somebody there approves it digitally.

  3. So contact HR, in writing, with the reference

    An email is better than a call, because it leaves something you can show later.

  4. Then EPFO gives final approval

    The regional office reviews and applies it, which takes its own time after the employer step.

  5. Check the UAN afterwards

    Download the UAN card or reopen the profile to confirm the name actually changed. Applying is not the same as it being done.

  6. Only then file a fresh claim

    There is no penalty for refiling once the profile is clean.

So the practical advice is uncomfortable but true: do this while you are still employed there, or immediately after leaving, while HR still knows your name and answers your email Not three years later when you actually want the money.

The Bank Name Has to Match Too

People fix the UAN, refile, and get rejected again. This is usually why. An online claim is verified against the bank account as well, and if the name there differs it auto-rejects at that step regardless of how clean the UAN now is. So three names must agree: Aadhaar UAN and EPFO records the bank account And PAN should be verified in the KYC section too, because if it is not, the tax deducted on an early withdrawal is much higher. Check all four before refiling, not after another rejection. Correcting a name at a bank is the easiest of the lot: a branch visit with identity proof, and often an affidavit where the difference is a spelling rather than a change.

Nobody Needs Your Password

We include this because of who reads this page. Somebody working away from home, whose claim has been rejected twice, who does not have time to keep trying, is exactly the person a fraud looks for. The offer sounds reasonable: a fee, and somebody who "knows people at the PF office". There is nothing to know. The rejection reason is displayed in the claim status, the fix is a joint declaration, and the approvals are digital. Central Gazette: the Complete Process and File Format

Do you need the gazette for a PF mismatch? Usually not. A spelling difference is corrected by joint declaration. The gazette is for a genuine change of name, and some employers ask to see it before approving one.

Stage 1: The affidavit

This one is built for a PF file. It carries the UAN in the opening, names the EPFO record and the bank account separately, and ends by declaring the Aadhaar version correct, which is the direction the system expects. Handed to an HR department, it explains the request without a conversation.

Only where the name genuinely changed. Each witness gives signature, full name and address, and both sign both copies.

Stage 3: The CD and CD-Certificate

Stage 4: Newspapers, fee, covering letter and dispatch

    A Hindi daily and an English paper covering this district, complete original pages.

Why We Will Never Ask for Your UAN Password

People from this district reach us after a PF claim has been rejected twice, and often after somebody has offered to sort it out for a fee. We say two things immediately. First, that we will never ask for a UAN password or an OTP, and that nobody legitimate will, because that is access to the whole balance rather than to one claim. Second, that what we can actually do is prepare the affidavit and the written request to HR properly, and tell them exactly what has to match before they refile. The approvals themselves belong to the employer and to EPFO, and we do not pretend otherwise. That is a smaller offer than the one they were made elsewhere, and it is the honest one.
