Most documents belong to you. The service record does not. It belongs to your employer, and it has a longer life than the employment itself. while you work it records your service when you retire it becomes the basis of your pension after you it becomes the basis of a family pension So it outlives the job, and often the person. Which means a name written slightly differently in it is not a small clerical matter. It is the spelling that will have to match everything else, at the moment when somebody most needs the money to arrive without argument. And almost nobody has ever looked at their own entry.

The reason it stays hidden is simple. For thirty years, nobody reads your name. They read your employee number. Salary is credited on a number. Leave is recorded against a number. Transfers move a number. Then at retirement the paperwork changes character. Now a human being reads the file and compares it with your bank account, your Aadhaar, your marksheet. And that is the first time in three decades that anybody has actually looked at the spelling. There is a version of this that is worse: when the check happens after a death, and the person who could have explained it is the person who is gone.

Your Department, Not a Town Office

    They hold the service book and they know their own procedure, which no website can tell you accurately.

  2. Ask to see the entry

    You are entitled to know what your own record says, and most people have never asked.

  3. Find out what they require

    Departments differ. Some want a gazette, some accept an affidavit, some have their own form.

  4. Do the gazette first if they ask for it

    Because the department will want the published notification rather than a promise.

  5. Apply in writing and keep the acknowledgment

    A service record change is a file, and files need dates.

  6. Then check that the change actually appeared

    Ask to see the entry again afterwards. Applying is not the same as it being done.

Each witness gives signature, full name and address, and both sign both copies. Colleagues make convenient witnesses, though there is no requirement that they be.

Stage 3: The CD and CD-Certificate

Stage 4: Newspapers, fee, covering letter and dispatch

Ask to See Your Own Entry

The single most useful thing on this page, and it costs nothing. Go to the section that holds your service book and ask to see your entry. Not a copy of the whole file. Why We Ask Whether You Are Still in Service

Somebody in service can walk into their own establishment section and ask a colleague to show them a page; somebody who retired five years ago is making a formal request through the same door with none of that ease.
