Quick answer: Address it to the Branch Manager, give your account number in the subject line, state the old and new name, name the reason in one line, list what you have enclosed, and add: "I do not require any change to my specimen signature." That last sentence is the one people leave out and it is the one that keeps a simple request simple. Six drafts follow for the six situations branches actually see.

Bank letters are unusual in that shorter is genuinely stronger. A branch official reads it, ticks what it asks for on a system, and files it. Extra sentences do not add weight; they add fields that somebody may act on. So every draft here is four or five lines and stops.

The Shape of a Bank Letter

Every draft below has the same five parts: 1 To the Branch Manager, branch named 2 Subject: change of name in A/c ______ 3 Old name, new name, reason 4 Enclosures, listed 5 "No change to specimen signature" And then it stops. No explanation of the marriage. No history of the spelling. No apology for the delay. A branch acts on what the letter asks for. Ask for one thing.

Sign it in your existing signature, because that is the specimen the bank currently holds and the letter has to be verifiable against it. This catches people who have already started signing the new name: the letter itself must match what is on file.

Draft One: Married Surname

Draft Two: Maiden Name After Divorce

Draft Three: a Spelling Correction

The subject line says correction rather than change, and the body says wrongly recorded rather than "I have changed". That distinction runs through this whole subject and is set out on our correction versus change page.

Draft Four: a Published Change

To, The Branch Manager ____________________ Bank, ____________________ Branch Subject: Change of name in account number ____________ Sir / Madam, I have changed my name from ____________________ to ____________________ , published in the Gazette of India, Part IV, issue ____________ dated __-__-____ . Giving the issue number and date lets anybody verify the notification independently, which is the entire point of having published, as our three documents page explains.

Central Gazette: the Complete Process and File Format

Stage 1: The affidavit

Note how much longer this is than any bank letter. An affidavit is a sworn statement and follows a form; a bank letter is an instruction and should not.

Stage 2: The Public Notice, in two copies

PUBLIC NOTICE (TWO identical typed copies, each signed and witnessed) It is for general information that I, ____________________ S/O ____________________ , R/o ______________________________ ____________________________________ , declare that I have changed my name from ____________________ to ____________________ and I shall hereafter be known as ____________________ for all purposes. Each witness gives signature, full name and address, and both sign both copies at one sitting.

Stage 3: The CD and CD-Certificate

CD-CERTIFICATE I, ____________________ S/O ____________________ , R/o ____________________________________________________ , do hereby declare:- 1- That the matter in CD and hard copy is the same and I am responsible for any mismatch. 2- That I am responsible for the quality of CD. 3- That the CD is in MS-Word Format. 4- That the above statement is true and correct. Stage 4: Newspapers, fee, covering letter and dispatch

  1. Publish in two newspapers and buy four copies

    One Hindi daily of your district and one English paper, complete original pages.

  2. Pay Rs 1,100 on BharatKosh

    With the function head, PAO and DDO checked and two receipts printed.

  3. Write the covering letter

    To The Controller, Publication Department, Civil Line, Delhi 110054, with your mobile number and email.

  4. Assemble, check and photocopy

    A full copy set kept at home.

  5. Courier it, tracked

    One to three days from most UP districts.

  6. Then use draft four at the branch

    With the issue number and date filled in.

Take a Stamped Copy Back

Hand over two copies of the letter. Ask the counter to stamp one and return it. That stamped copy is: proof you applied proof of the date the thing to produce if nothing happens in three weeks and the start of any escalation It costs nothing and takes ten seconds. The alternative is telephoning a branch in month two and having no way to establish that a letter was ever received.

How long should the letter be?

Four or five lines. A branch acts on what the letter asks for, so extra sentences add fields somebody may act on rather than adding weight.

What is the one sentence people leave out?

"I do not require any change to my specimen signature." Without it, a form may be filled in with more than you asked for.

Which signature do I sign it with?

The one the bank already holds. The letter has to be verifiable against the existing specimen, which catches people who have started signing a new name.

Should the subject say change or correction?

Correction where the name was recorded wrongly, change where you have genuinely changed it. The word signals which category the request belongs to.

Do I need to explain the reason?

Name it in one line. "Consequent upon my marriage" is four words and enough; a full account of the circumstances helps nobody.

What should I enclose?

Your updated Aadhaar plus the document that explains the change: a marriage certificate, a decree, an older marksheet or the gazette notification.

Can I ask for a signature change in the same letter?

You can, and you should not. Separate letters on separate days, and only after any cheques you have issued have been presented.

What about a joint account?

The other holder countersigns the request and both signatures appear at the foot, because one holder cannot amend the account alone.

How many copies do I take?

Two. Hand over one and ask for the other to be stamped and returned, which is your proof of the date.

What if nothing happens?

Go back with the stamped copy after about three weeks. That single piece of paper is what makes an escalation possible.

Does the letter need to be typed?

Not necessarily, though a typed letter is easier for a busy counter to read and process without questions.

Do I need a gazette for the letter to work?

Only for draft four. The other five rely on Aadhaar and the document explaining the change.
