A Folio Is Not an Account

Compare what each thing actually is: BANK ACCOUNT one account, one number, one bank DEMAT ACCOUNT one account holding everything you own in electronic form MUTUAL FUND FOLIO a CUSTOMER NUMBER at one fund house That last one is a relationship reference, not a container. So five fund houses means at least five folios, and the same house can hold more than one for the same person without anything being wrong. Which is why "correct my name on my mutual fund" is usually the wrong shape of question.

People with a demat account find this confusing, because a demat account really is a single container. Mutual funds held outside demat work differently, and both can be true at once for the same investor.

Notice that nothing here is a mistake. Every one of those was a legitimate investment, correctly recorded at the time, by somebody typing what they were told. The fragmentation is a side effect of investing in ordinary ways over ordinary years. So the mismatch you are looking at may not be between you and the fund house at all. It may be between two of your own folios.

Finding All of Them

  1. Request a consolidated account statement

    It lists mutual fund holdings across fund houses, pulled together against your PAN.

  2. It comes to your registered email

    Which may itself be an old address, and that is worth fixing at the same time.

  3. Read every folio number and the name on it

    This is the moment people discover holdings they had forgotten.

  4. Note which fund houses are involved

    Since that determines which registrar to write to.

  5. Note every spelling variation

    Because each one is a version of your name sitting in the industry's records.

  6. Then plan one request per registrar

    Rather than one per fund house, which is where most of the saving comes from.

If the statement does not arrive, the usual cause is an old email address on the folios, which is itself a good reason to be doing this exercise.

Two Registrars, Most of the Industry

This is the same routing insight as physical shares, set out on our share certificate page: the register is not with the company whose name is on the statement.

Correcting, Then Consolidating

Two jobs, in order: 1 CORRECT make every folio show the same, correct name 2 CONSOLIDATE ask for folios at the same house to be merged into one The second is only possible once the first is done, because folios can generally only be merged where the holder details match. Which reframes the name correction. It is not tidiness. It is the step that unlocks having one folio per house instead of three. What consolidation gets you: one statement instead of several one nomination to keep current one set of contact details far less for a family to untangle later

That last line is the real argument. Somebody dealing with your holdings later will have a much easier time with three folios than with eleven.

The Forgotten SIP

The same is true of physical shares and old policies. A pattern worth noticing across this whole area: paper assets go quiet, and quiet is not the same as safe.

The list in point one is what makes this affidavit different from every other one on this site. Naming several folios and several spellings in a single sworn document is exactly what a registrar needs in order to treat them as one investor, and it saves swearing three separate affidavits.

Stage 2: The Public Notice, in two copies

Each witness gives signature, full name and address, and both sign both copies at one sitting.

Stage 3: The CD and CD-Certificate

CD-CERTIFICATE I, ____________________ S/O ____________________ , R/o ____________________________________________________ , do hereby declare:- 1- That the matter in CD and hard copy is the same and I am responsible for any mismatch. 2- That I am responsible for the quality of CD. 3- That the CD is in MS-Word Format. 4- That the above statement is true and correct. Stage 4: Newspapers, fee, covering letter and dispatch

  1. Publish in two newspapers and buy four copies

    One Hindi daily of your district and one English paper, complete original pages. Buy extras if two registrars are involved.

  2. Pay Rs 1,100 on BharatKosh

    With the function head, PAO and DDO checked and two receipts printed.

  3. Write the covering letter

    To The Controller, Publication Department, Civil Line, Delhi 110054, with your mobile number and email.

  4. Assemble, check and photocopy

    A full copy set kept at home and one per registrar.

  5. Courier it, tracked

    One to three days from most UP districts.

  6. Then PAN, then the registrars

    Since PAN is what every folio is anchored to.

Pull the Statement Even If Nothing Is Wrong

This is worth doing whether or not you have a name problem. One statement, one email, and you find out: how many folios you actually hold at which fund houses under which spellings of your name with which contact details on record and whether anything has been sitting forgotten Most people who do this are surprised by at least one line. It takes minutes and costs nothing, and it turns a vague sense of "I have some mutual funds somewhere" into a list you can act on. Then tell one family member the list exists.

Why We Start With a Statement

Somebody sends us one mutual fund statement with a misspelled name and asks us to fix it. We ask them to pull a consolidated statement instead, and about half the time it shows folios they had not mentioned, sometimes at houses they had forgotten.
