PAN Leads Here, Not Aadhaar.

Share Certificate Name Change and Correction in Uttar Pradesh

If you are holding old share certificates in a name that no longer matches your PAN, two things are worth knowing straight away. Physical transfer of shares has been banned since 2019, but a name correction for the same owner is still perfectly allowed, so your holding is not stuck. And a name mismatch is precisely what stops dematerialisation, which is why this surfaces when families try to move old certificates into a demat account. Securities also run on PAN and KYC rather than Aadhaar, so the counters are different: the company's RTA, your DP, and CAMS or KFintech.

Quick answer: Share and investment records in Uttar Pradesh update in a fixed order: PAN first, Aadhaar and bank next, then the securities, because the whole market runs on PAN-based KYC. Physical share certificates correct through the company's RTA (name-change form with folio and certificate numbers, PAN, Aadhaar and the marriage certificate, gazette or court order); demat accounts update at your DP with the same proofs; mutual funds go through CAMS or KFintech in 7 to 10 business days with the folio number unchanged. Physical share transfer has been banned since 2019, but a same-owner name correction on physical certificates is still allowed, and fixing the name is exactly what unblocks dematerialisation when a mismatch stops it.

Every register so far in this series answered to either Aadhaar's e-KYC or a Tehsil counter. Securities answer to neither: the share certificate, the demat account and the mutual fund folio all hang off PAN-based KYC, processed not by any government office but by the company's Registrar and Transfer Agent (RTA), your Depository Participant (DP), and the fund registrars CAMS and KFintech. That changes the order of everything: PAN leads, Aadhaar and the bank follow, and the securities come last, each counter simply matching your folio against the KYC you have already fixed. UP families hold a lot of old physical paper, inherited certificates in grandfather's initials, folios opened decades before demat existed, and this page is written for exactly those files.

Why PAN Leads Here

Every securities record, the folio at the RTA, the demat account at the depository, the mutual fund folio at the registrar, is anchored to your PAN, and every counter's first act is matching your application against PAN-based KYC. So the order that governed the certificate family inverts its anchor but keeps its logic: PAN carries the new name first, Aadhaar and the bank account follow, and only then do the securities counters get approached, each one now able to see a consistent KYC trail. Approach them in the wrong order and you manufacture the exact mismatch this page later teaches you to fix. Where the name change itself is legal rather than marital, the gazette notification sits at the very top of that chain, exactly as it does everywhere else on this site.

Three Counters, One File

HoldingCounterThe application
Physical share certificatesThe company's RTA (named on the certificate or investor page)Name-change form with folio and certificate numbers, plus the ISR-1 KYC where pending
Demat holdingsYour DP, the broker where the account runsKYC modification with the supporting document; the depository record updates
Mutual fund foliosCAMS or KFintech, per the fund houseName Change Request Form; folio number stays the same

The file is nearly identical at all three: self-attested PAN and Aadhaar showing the new name, the engine document (marriage certificate, gazette, court order or affidavit), and the counter's own form, notarised where its checklist says so. The efficient move for a family portfolio is building this file once and firing it at all three counters in the same week, PAN and bank already done.

Physical Share Certificates Through the RTA

First, the myth that costs UP families real money: since April 2019 physical shares cannot be transferred to a buyer, everything must demat, but a same-owner name correction on a physical certificate remains a standard, allowed service. The route: identify the RTA from the certificate or the company's investor relations page, complete the folio's KYC on SEBI's ISR-1 if it has never been done, and file the RTA's name-change form carrying the folio number, certificate numbers and the corrected name exactly as PAN prints it, with the proofs attached. Under current SEBI practice the outcome arrives electronically: the RTA verifies, issues a Letter of Confirmation, and the corrected holding credits your demat account, which means opening a demat account is part of this journey if the family never had one. A lost certificate adds the duplicate-certificate process, indemnity bond and often a newspaper notice, before or alongside the correction; and never, ever write corrections onto the certificate by hand, because a defaced certificate creates a verification problem no form can fix.

The Demat Account at Your DP

For holdings already in demat, the correction is a KYC modification at your DP: the request form, the marriage certificate, gazette or court order (notarised where the DP's checklist asks), and identity documents already showing the new name. The depository record updates, and every company whose shares sit in that account sees the new name at once, which is the quiet advantage of demat over paper: one application covers the whole portfolio. The single rule that matters: the demat name must match PAN letter for letter, because the exchange and depository systems reconcile on PAN, and a stray initial here is tomorrow's frozen corporate action.

Mutual Fund Folios at CAMS and KFintech

Mutual funds route through the fund house's registrar, CAMS or KFintech, on a Name Change Request Form with the updated PAN, the supporting document and a KYC update where the fund house asks. Processing runs 7 to 10 business days, several registrars accept the request digitally, and the folio number never changes, only the name against it. One filing at each registrar covers every fund house that registrar serves, so a typical family portfolio settles in two applications. Do the KYC-level name update (KRA records) alongside, so future investments open clean rather than inheriting the old spelling.

The Mismatch That Stops Demat

The commonest UP case is not a wrong name but an unmatchable one: the 1994 folio says "R. K. Sharma", the demat account says "Rakesh Kumar Sharma", and the depository's own rules ask you to verify the ownership pattern matches before certificates go in, because a mismatch stops dematerialisation cold. The fix is sequencing, not panic: compare the certificate, the RTA's register and the demat account first; route genuine same-person variants (initials, missing middle names, Devanagari-to-English spellings) through the RTA's correction service with a one-and-the-same-person affidavit; route changed names (marriage, gazette) through the engine documents; and only then submit originals for demat. Joint holdings add one more check, the holders' sequence must match too, and a certificate held "A and B" will not demat into an account held "B and A" without either a matching account or a sequence correction at the RTA.

Marriage, Divorce and Gazette Cases

The engine documents map cleanly. Marriage: the marriage certificate with PAN and Aadhaar in the married name is the standard, low-friction file at every counter, and the decision itself, whether to change at all, routes first through our marriage pillar. Divorce: the decree with updated identity documents reverts a maiden name, and registrars treat court orders as strong, self-sufficient proof. Gazette: a legal name change rides the notification through the whole chain, PAN and Aadhaar first, then all three counters, each keeping a copy on file. Minors: the guardian applies with the minor's birth certificate and the guardianship recorded on the folio. In every case, the securities counters are the last stop of the journey, never the first, because each of them verifies against the documents the earlier stops produced.

The Seven-Year IEPF Clock

Stale names here do not just inconvenience; they forfeit. Dividends that cannot reach you, because the bank mandate died with the old name, or the warrant went to an address from 1998, accumulate as unclaimed, and after seven years the dividends and the underlying shares themselves transfer to the government's Investor Education and Protection Fund. Recovery from IEPF is possible but is a genuinely heavy process, forms, company verification, months of waiting, that dwarfs the one-page correction which would have prevented it. For UP families sitting on grandfather's certificates, the practical instruction is blunt: pull the folio's status from the RTA now, fix the name and KYC now, and claim what is pending before the clock does its work. This is the securities version of the lesson every register on this site teaches, that the record pays whoever it can identify.

Central Gazette at the Head of the PAN-First Chain: Steps

Our core service: Every RTA, DP and fund registrar verifies against KYC, and for a legal name change the KYC chain begins with the Central Gazette notification, which is not one of our services but the service, the thing this firm files every day.

  1. Swear the affidavit of the new name

Old name as the folio knows it, new name as adopted, address and reason, notarised on stamp paper. PAN will copy it, and every folio will copy PAN.

  2. Publish the two newspaper declarations

One Hindi daily, one English paper, both names and your address, complete original pages kept. Registrars ask for these alongside the gazette in changed-name files.

  3. Assemble proforma, witnesses and CD

Typed “I hitherto known as”, two witnesses with details, the CD in the prescribed format, its printout signed. The Department’s checklist is the gate; we build files to it.

  4. Pay Rs 1,100 on BharatKosh

Receipt saved with the folio papers. Beside RTA services that cost nothing, this challan is the one genuine fee a securities name change carries.

  5. Courier the file to Civil Lines, New Delhi

Affidavit, newspapers, proforma, CD and printout, ID, address proof, photographs, receipt, posted from anywhere in UP. No exchange, DP or registrar sees anything yet.

  6. Publish, then run the counters in order

Part IV in 25 to 45 days, free from egazette.gov.in, then PAN, Aadhaar and bank, then RTA, DP and CAMS or KFintech in one week, every counter meeting a KYC that already agrees.

The PAN-first order stays this page’s law; the notification behind it is the gazette guide’s subject, and its complete filing is our Complete package, folio numbers to final download.

Gazette Fees, Time and the File

Government fee (adult)Rs 1,100, paid on bharatkosh.gov.in
Government fee (minor)Rs 1,700, guardian-filed
Alias publicationAdds Rs 250
Notary’s affidavitRs 100 to 500 all-in
The two press adsEdition-priced, typically a few hundred rupees each
Delhi’s clock25 to 45 days from receipt to Part IV
Your prep timeRoughly a week with papers in hand

What goes in the courier: notarised affidavit, the two full newspaper pages, the signed proforma with two witnesses’ details, the CD and its signed printout, identity and address proof, fresh photographs, and the fee receipt.

Before You Apply: Check These

After the Gazette: What Updates Next

PAN first, then Aadhaar and the bank, then the RTA, DP and CAMS or KFintech filings in one sweep, each with the notification attached; the folios, the demat account and the fund records land on one name before the next dividend or corporate action goes looking for you.

What Other Websites Get Wrong About Share Name Change

Key Terms on This Page

Plain definitions for the words that come up at the counter:

Registrar and Transfer Agent
The agency that maintains shareholder records for a company and processes name corrections on them.
Self-attestation
Signing your own photocopy to confirm it matches the original, which many offices now accept.
e-KYC
The electronic check that matches a record against Aadhaar. When names differ, the check fails and the linked service can stop.
Decree
The court's final order in a case. In a divorce it fixes the date from which the marriage ended.
Guardian
The adult who signs on a child's behalf. A child under eighteen signs nothing in these processes.
Attestation
Confirming that a copy matches an original, or that a signature was made in front of the person confirming it.

Every guide here is part of one connected map, so whichever counter your case lands at next, the page for it already exists:

The Three Securities Questions

Almost every question about holdings is one of these three:

One thread runs through all of them: in securities your PAN is the anchor, the register sits with a registrar rather than the company, and a name that does not match is what blocks the transaction rather than merely looking untidy.

Share and Demat Name Work: FAQs

How do I change my name on a physical share certificate?

Through the company's RTA: fix PAN and Aadhaar first, complete the folio's KYC on ISR-1 if pending, and file the RTA's name-change form with the folio and certificate numbers, the identity proofs and the marriage certificate, gazette or court order. The RTA verifies, issues a Letter of Confirmation, and the corrected holding credits your demat account.

I heard physical shares cannot be processed anymore. Is a name correction still possible?

Yes: the 2019 rule banned transfers of physical shares to buyers, not corrections. A same-owner name change remains a standard RTA service, and it is usually the necessary first step before old certificates can be dematerialised at all.

How do I change my name in my demat account?

Through a KYC modification at your DP with the supporting document and identity papers in the new name. The depository record updates once, and every holding in the account reflects the new name together. The name must match PAN exactly.

How do I change my name in mutual fund folios?

Through the fund's registrar, CAMS or KFintech: the Name Change Request Form, updated PAN, the supporting document, and a KYC update where asked. Processing runs 7 to 10 business days and the folio number stays the same.

What is the right order for the whole journey?

Gazette first where the change is legal, then PAN, then Aadhaar and the bank, then the securities counters, RTA, DP and registrar, in the same week if you like. Every counter verifies against the documents the earlier stops produced, so the order is the process.

My old folio says "R. K. Sharma" but my demat account says "Rakesh Kumar Sharma". What now?

That mismatch is exactly what stops dematerialisation, so fix it before sending originals: an RTA correction with a one-and-the-same-person affidavit reconciles same-person variants like initials and missing middle names, and then the certificate demats cleanly.

What documents work as proof of the name change?

The marriage certificate for marital changes, the divorce decree for reversion, the gazette notification for a legal name change, and a notarised affidavit for spelling and format reconciliation, always alongside PAN and Aadhaar already showing the new name.

The certificate holder has died. Is this still a name change?

No, that is transmission, a different process running on the death certificate, the will or succession proof and the RTA's transmission forms. Name correction is for a living holder whose own name changed or was misrecorded; route inheritance cases as transmission from the start.

What happens to dividends nobody could claim?

They accumulate as unclaimed, and after seven years the dividends and the underlying shares transfer to the government's IEPF. Recovery from IEPF is possible but heavy, which is why fixing the folio's name and bank mandate now is the cheap version of this problem.

What does all this cost?

The counters themselves charge nothing or nominal processing amounts; the real costs are the notary's affidavit at Rs 100 to 500 and the gazette route where the change is legal, itemised on the cost page. Large "government fee" quotes for what is fundamentally free RTA processing deserve suspicion.

My certificates are lost but the folio exists. Can the name still be fixed?

Yes, alongside the duplicate-certificate process: indemnity bond, often a newspaper notice, and the RTA's verification, after which the corrected holding credits demat. Start from the folio number on any old dividend counterfoil or annual report the family kept.

Do joint holdings need anything extra?

The holders' sequence must match between the certificate and the demat account, not just the names: "A and B" will not demat into an account held "B and A". Either open a matching account or have the RTA correct the sequence first.

Official Sources

Facts on this page are checked against these sources and our own filing experience. Registrar checklists differ in small ways; the PAN-first order, the correction-vs-transfer distinction and the mismatch rule are the stable core.

The Short Version

Securities run on PAN, so the order is fixed: gazette where the change is legal, PAN, Aadhaar and bank, then the three counters, the company's RTA for physical certificates (correction still allowed despite the 2019 transfer ban, outcome credits demat via a Letter of Confirmation), the DP for demat (one application covers the portfolio), and CAMS or KFintech for mutual funds (7 to 10 days, folio unchanged). Reconcile name mismatches before sending certificates for demat, because the mismatch is what stops it, and move before the seven-year IEPF clock takes unclaimed dividends and shares away. WhatsApp a photo of the certificate to 9540005002 and we identify the RTA and build the whole file in order.
