EWS Certificate Name Mismatch at Admission or Job Verification

Your EWS certificate reads differently from your marksheet and somebody at a verification desk has stopped on it. This one is tighter than the same problem on a caste or OBC certificate, and here is why. Behind a caste claim there is a family record an officer can check. Behind an EWS certificate there is no register of EWS candidates at all: the certificate is the finding itself. If it cannot be tied to you, there is nothing else to fall back on.

Quick answer: Carry an affidavit stating both spellings are one person, your Class 10 marksheet naming the roll number and board, and an acknowledgment showing you have applied for a fresh certificate. At a counselling round you usually get one chance on the day, so prepare all three before you go. At a job verification there is normally more room, so a fresh certificate may still arrive in time.

Candidates come to this expecting it to work like the same problem on a caste or OBC certificate. It does not, and the difference is worth understanding before you decide what to carry.

Nothing Sits Behind It

Put the same mismatch on three documents and watch what an officer can do: CASTE CERTIFICATE a family record exists at the Tehsil -> the claim can be checked independently of the paper OBC CERTIFICATE same family record, plus a community list -> again, something to check against EWS CERTIFICATE no register of EWS candidates exists the certificate IS the finding -> if it cannot be tied to you, there is nothing else to look at Same error. Least room to manoeuvre.

This is not an officer being difficult. There is genuinely no second source for them to consult, which is why the linking evidence you bring matters more here than on any other reservation document.

Counselling Gives One Chance

If you have looked at your certificate and the name matches your marksheet exactly, none of this applies. If you have not looked, do it now rather than in the queue.

A Job Verification Gives More

Counselling roundJob document verification
Fixed day, fixed roundUsually a scheduled date with some flexibility
A seat can be lostGenerally a query is raised first
No coming backOften a chance to produce a document later
Prepare everything in advanceA fresh certificate may still arrive in time
Bring the affidavit regardlessBring it regardless
Which changes the plan: COUNSELLING NEXT WEEK -> affidavit today -> fresh application today -> carry both and the acknowledgment JOB VERIFICATION IN A MONTH -> fresh application today -> it may well arrive -> carry the affidavit anyway, in case it does not The affidavit is cheap and takes a day. There is no situation where having it hurts.

The Three Things to Carry

  1. The affidavit, naming your roll number and board

So the officer can verify the marksheet independently rather than take your word for the spelling.

  2. The Class 10 marksheet itself

Original, because it is the document the affidavit points at.

  3. The acknowledgment of your fresh application

Which turns an explanation into a process already under way.

  4. Plus the certificate you have

Even though it carries the error, since it is what was submitted.

  5. And several photocopy sets

Because a desk will keep some and you will need the rest at the next stage.

  6. Aadhaar for identity

Though not as the spelling authority, since it may carry the wrong version itself.

The affidavit wording is on our two names page, and the fresh application route is on our EWS filing page.

What to Say at the Desk

One sentence, calmly, without argument: "The certificate was typed with one letter wrong. My marksheet, roll number ______ , has the correct spelling, this affidavit connects the two, and a fresh certificate is applied for, application number ______ ." Then stop talking and let them decide. What does not help: explaining at length insisting the certificate is valid asking them to make an exception The officer is not deciding whether to be kind. They are deciding whether they can identify you, and the three documents in front of them are the answer.

Tone matters more here than people expect, and the same point comes up on our bank refusal page. Somebody being careful is not somebody being obstructive.

If You Are Still Refused

Our problems page covers what a written refusal makes possible. Without one, a representation is one person's account of a conversation.

Central Gazette: the Complete Process and File Format

Our core service: a typing error needs no publication. Where a name is genuinely changing, this is the route from Lucknow.

Stage 1: The affidavit

AFFIDAVIT (on non-judicial stamp paper, notarised) I, ____________________ S/O ____________________ , R/o ____________________________________________________ , do hereby solemnly affirm and declare as under:- 1- That my name is recorded as ____________________ in my High School marksheet, Roll No. ____________________ , issued by ____________________ Board in the year ______ . 2- That my name has been wrongly written as ____________________ in EWS certificate number ____________________ dated __-__-____ . 3- That ____________________ and ____________________ are the name of one and the same person, that is, myself, and the difference is on account of a clerical error in spelling. 4- That the particulars of my family, income and assets as declared in the said certificate were true and correct as on that date. 5- That I have applied for a fresh certificate in my correct name, application number ____________________ . 6- That it is my true and correct statement. DEPONENT VERIFICATION:- Verified at ____________ on this __-__-20__ that the contents of the above Affidavit are true and correct to the best of my knowledge and belief. DEPONENT

Six points rather than the usual four, and each earns its place: the marksheet identifies the source, point four confirms the declaration itself is not in question, and point five shows a fresh certificate is already coming.

Stage 2: The Public Notice, in two copies

PUBLIC NOTICE (TWO identical typed copies, each signed and witnessed) It is for general information that I, ____________________ S/O ____________________ , R/o ______________________________ ____________________________________ , declare that I have changed my name from ____________________ to ____________________ and I shall hereafter be known as ____________________ for all purposes. It is certified that I have complied with other legal requirements in this connection. ____________________ Signature of Applicant WITNESS NO. 1 Signature :- ____________________ Full Name :- ____________________ Address :- ____________________ WITNESS NO. 2 Signature :- ____________________ Full Name :- ____________________ Address :- ____________________

Each witness gives signature, full name and address, and both sign both copies at one sitting. This stage does not apply to a typing error.

Stage 3: The CD and CD-Certificate

CD-CERTIFICATE I, ____________________ S/O ____________________ , R/o ____________________________________________________ , do hereby declare:- 1- That the matter in CD and hard copy is the same and I am responsible for any mismatch. 2- That I am responsible for the quality of CD. 3- That the CD is in MS-Word Format. 4- That the above statement is true and correct. Signature of Applicant ____________________ R/o ____________________

Stage 4: Newspapers, fee, covering letter and dispatch

  1. Publish in two newspapers and buy four copies

One Hindi daily of your district and one English paper, complete original pages.

  2. Pay Rs 1,100 on BharatKosh

With the function head, PAO and DDO checked and two receipts printed.

  3. Write the covering letter

To The Controller, Publication Department, Civil Line, Delhi 110054, with your mobile number and email.

  4. Assemble, check and photocopy

A full copy set kept at home.

  5. Courier it, tracked

One to three days from most UP districts.

  6. Then Aadhaar, then a fresh certificate

Which is what the verification will eventually want anyway.

Check It the Week You Get It

Every problem on this page is created by one habit and prevented by another. the habit that creates it: file the certificate away unread until the day it is needed the habit that prevents it: read it the week it arrives, against the marksheet, character by character A wrong certificate found in month one is a fresh application. The same certificate found in a counselling queue is a lost seat. Nothing about the document changed. Only when you looked at it.

Say this to anybody in your family sitting exams. It is the cheapest advice on this whole site and it costs about two minutes per document.

The envelope in one line, where publication applies to a genuine name change: covering letter with your phone and email, affidavit (notarised), Public Notice typed in two copies with two witnesses on each, CD in MS-Word format with the signed CD-Certificate, both complete newspaper pages, photo identity proof, address proof, photographs and the BharatKosh receipt.

Before the Verification: Check These

After the Gazette: What Updates Next

Get the fresh certificate whatever happens at the desk, since the next stage will want it. Keep the affidavit permanently, because a candidate applying for several posts will be asked the same question again by somebody else.

What Other Websites Get Wrong

Areas We Serve in Uttar Pradesh

The verification happens wherever the institution or commission holds it; the fresh certificate comes from your own Tehsil. Across all 75 districts, most often these:

Rohilkhand and BundelkhandBareilly, Moradabad, Rampur, Shahjahanpur, Budaun, Pilibhit, Bijnor, Amroha, Jhansi, Banda, Mahoba, Chitrakoot

Counselling centres cluster in Lucknow, Prayagraj, Kanpur and Noida while family records sit in home districts, which is exactly the gap that leaves no time to fix anything on the day. Key Terms on This Page

Plain definitions for the words that come up at the counter:

e-District
The Uttar Pradesh portal used for caste, income, domicile and similar certificates.
Affidavit
A statement you swear is true, signed before a notary on stamp paper. The notary confirms you signed it, not that the contents are true.
Department of Publication
The office at Civil Line, Delhi that receives name change files and publishes the notification.
Name change
Adopting a different name from the one your documents correctly record. This is the case that usually needs publication.

Whichever counter you reach next, there is a guide for it here:

Why We Ask Whether It Is Counselling

It is the first question, because it changes everything that follows. A candidate with a month before a job verification has options a candidate with a counselling round on Thursday does not. The advice is not different because the rules differ; it is different because one situation lets you come back and the other does not. Vipin Chauhan, B.Tech LL.B, plans backwards from the date.

EWS Mismatch at Verification: FAQs

Why is this harder than a caste certificate mismatch?

Because no register of EWS candidates exists behind the certificate. It is the finding itself, so there is no second source an officer can check.

What should I carry?

An affidavit naming your roll number and board, your Class 10 marksheet, and the acknowledgment of a fresh application, plus the certificate you have.

Is counselling different from a job verification?

Yes. Counselling usually gives you one chance on the day, while a job verification generally raises a query and leaves room to produce something later.

My counselling is next week. What now?

Swear the affidavit today, file the fresh application today, and carry both with the acknowledgment. Nothing can be arranged in the corridor.

What should I actually say at the desk?

One sentence: the certificate was typed with one letter wrong, the marksheet has the correct spelling, the affidavit connects them, and a fresh certificate is applied for.

Should I argue that the certificate is valid?

No. The officer is deciding whether they can identify you, not whether to be kind, and length does not help.

Why does the affidavit name my roll number?

So the marksheet can be verified independently, which turns your statement into something checkable.

What if I am refused anyway?

Ask for the reason in writing before leaving, note the date and desk, and follow the published grievance route.

Do I still need the fresh certificate?

Yes, whatever happens at the desk, because the next stage will want it regardless.

Do I need a gazette?

No. A typing error involves no publication at any point.

How do I stop this happening again?

Read every certificate the week it arrives, against your marksheet, rather than the day it is needed.

Can somebody attend for me?

Not usually at a document verification, since the point is identifying the candidate in person.

Official Sources

Facts here are checked against these sources and our own casework. Individual institutions and recruiters set their own verification procedure, so the notice or counselling instructions you are attending under always take precedence.

About the founder: Founded by Vipin Chauhan, B.Tech LL.B, with 5+ years of direct filing experience with the Department of Publication. Every process detail here comes from files we have actually prepared and followed through to publication, not from copied web content.

The Short Version

Put the same one-letter mismatch on a caste certificate and on an EWS certificate and an officer has very different options. Behind a caste claim there is a family record at the Tehsil, so the claim can be checked independently of the paper in front of them. Behind an EWS certificate there is no register of EWS candidates at all: the certificate is the finding itself, so if it cannot be tied to you there is nothing else to consult. That makes the linking evidence you bring matter more here than anywhere else. Carry three things: an affidavit naming your roll number and board so the marksheet can be checked independently, the marksheet itself, and the acknowledgment of a fresh application already filed. And know which situation you are in, because a counselling round usually gives you one chance on the day while a job verification generally leaves room to produce something later.

Counselling This Week?

Tell us the date and both spellings. What is possible depends entirely on how much time is left.
